Job Description

Responsibilities:

Process vendor invoices in Oracle ERP. The process briefly comprises:
o Ensuring the invoice is compliant with the Service Tax rules in India
o Entering the invoice details in Oracle

o Ensuring appropriate approval exists for the invoice to be processed
o Selecting the correct accounting string
o Ensuring correct coding for service tax and application of the correct withholding tax rate

Ensure high level of accuracy and legal compliance in invoice processing.
o TDS deduction under appropriate section at appropriate rate.
o Entries for Service Tax and VAT.
o Ensure labour law compliance on service related invoices.
o Vendor tax related record updation/correction.

Payment processing (off cycle payments)
o Prepare the relevant documentation for making import payments
o Raise special payment request for urgent payments as well as tax payments
o Co-ordinate for all the payment postings in Oracle on timely basis.

JV upload
o Rectification/correction JVs.
o Payment/receipt JVs.

Tax related payments/reconciliations
o Compare/reconcile data provided by tax team for monthly TDS payments.
o Co-ordinate with tax team for any differences.
o Raise payment requests for TDS, Service Tax deemed output, VAT, interest.
o Provide data to tax team for reconciling/providing data for the notices received from IT department.

Month end reconciliations/reporting.
o Perform all the tasks as per the month close calendar
o Reconcile various AP related balance sheet accounts.
o Run various reports like AP aging, general ledger, Account analysis etc.
o Perform Vendor reconciliation
o Perform aging analysis and present to the Manager for discussion

Support for Internal audit/statutory audit.
o Prepare schedules for AP related balance sheet accounts.
o Prepare Vendor Landlord balance confirmation letters and perform reconciliations if balance confirmed does not match with the book balance
o Retrieve invoice copies as requested and provide to auditors.
o Prepare a report showing invoices booked in the subsequent period against yearend accruals
o Provide details to auditors on need basis.

Query resolution
o Resolve vendor queries or queries raised by internal customers on timely basis and in efficient manner.
o Handle general email box efficiently.
o Co-ordinate with other teams (within accounting or outside) for obtaining required details.

Expense Reporting
o - Record invoices for currency purchases and currency surrender.
o - Record entries for cheques received from employees towards settlement of travel advance.
o - Follow up with employees for recovery of pending travel advance.
o - General email box handling for the queries raised by employees related to ER.

Education and Experience:
M. Com
3 - 5 years experience
Experience with a Multinational, preferably a Software Product or IT Services or ITES company.

Skills required:

Strong accounting knowledge on end to end accounts payable process.
Strong hands on knowledge of Oracle Accounts Payable.
Strong knowledge on Indian tax laws, like TDS, service tax, VAT accounting, labor law compliance etc.
Good knowledge on MS excel.
Good verbal & written communication skills.
